Health & Safety

1. Purpose
This policy sets out the reasonable steps Dragon Gaming takes to protect the health and safety of everyone taking part in our activities – members, GMs, volunteers, directors and visitors.
2. Scope
This policy applies to all in-person Dragon Gaming activities, including regular guild sessions, one-off events and conventions, at any venue we use.
3. Responsibilities
- Directors: Hold overall responsibility for health and safety policy and oversight across the organisation.
- Guild Councils: Coordinate with venues to ensure spaces are suitable and safe, and act as the first point of contact for venue-related concerns.
- GMs: Responsible for session-level safety – keeping an eye on the table, the space around it, and raising anything of concern.
4. General Safety Principles
- Sessions should only take place in venues that are safe, accessible and suitable for the number of attendees.
- GMs and Guild Council members should familiarise themselves with each venue’s fire exits, first aid provision and emergency procedures.
- Any hazards identified before or during a session (trip hazards, faulty equipment, overcrowding) should be addressed or reported immediately.
- Participants should never be made to feel pressured to stay in an unsafe environment.
5. Incident Reporting
- All incidents, including near-misses, should be reported to the Guild Council as soon as possible after the event.
- Serious incidents, including any injury requiring medical attention, must be escalated to the Board of Directors without delay.
- Incidents involving a safeguarding concern should also follow the Safeguarding Policy’s reporting procedure.
6. Related Policies
This policy should be read alongside the Safeguarding Policy, which sets out additional procedures for concerns involving children or adults at risk.
7. Review
This policy is reviewed annually by the Board, or sooner following any serious incident.
